Terms & Policies for Tutoring and Consultancy:
Safeguarding, Cancellations, Privacy & Professional Standards

This policy outlines the standards, expectations and responsibilities that guide all tutoring and consultancy services. It is designed to ensure clarity, safety and transparency for families, schools and organisations.

1. Safeguarding & Duty of Care

Safeguarding is central to all work involving children and young people. I follow statutory UK guidance and act promptly on any concerns relating to safety, wellbeing or risk of harm.

Actions may include:

  • contacting parents/carers

  • informing the school’s Designated Safeguarding Lead

  • contacting local safeguarding authorities where necessary

Information is shared only when essential to protect a learner. All safeguarding concerns are recorded securely and handled with dignity and respect.

2. Confidentiality & Data Protection

I handle all personal information in line with UK GDPR principles.

  • Session notes, personal details and school information are stored securely.

  • Information is shared only when necessary for safeguarding, coordination of support, or when consent has been given.

  • No personal data is entered into AI tools without explicit permission.

  • No session content is used for marketing or external purposes without consent.

 

3. Cancellations & Rescheduling

To ensure fairness and consistency:

  • Tutoring sessions may be cancelled or rescheduled with 24 hours’ notice.

  • Cancellations made with less than 24 hours’ notice may be charged at the full session rate.

  • Consultancy bookings (e.g., school visits, training, reports) require 48 hours’ notice for cancellation or rescheduling.

  • If I need to cancel due to illness or unforeseen circumstances, I will offer the next available slot or a full refund.

  • Repeated short‑notice cancellations may result in sessions being paused or discontinued.

 

4. Professional Boundaries

To maintain a safe and effective working relationship:

  • Tutoring sessions focus on learning, independence and capability-building. They are not therapy, diagnostic assessment, or clinical intervention.

  • Consultancy work is limited to the agreed scope: observation, strategy, training, documentation or advisory support.

  • Communication outside scheduled sessions remains professional and purposeful.

  • I do not engage in activities outside my professional remit.

 

5. Use of AI Tools

AI may be used to support learning and professional tasks, but always within clear boundaries:

  • AI is used to enhance thinking, not replace effort or judgement.

  • Learners remain responsible for decision‑making, reflection and final outputs.

  • AI use is bias‑aware, age‑appropriate and aligned with self‑regulated learning principles.

  • No personal data is entered into AI tools without explicit consent.

 

6. Accessibility & Inclusive Practice

All services are designed to be inclusive, neurodiversity‑affirming and responsive to individual learning profiles.

This includes:

  • adjustments for attention, memory, cognitive load and communication

  • predictable routines and supports

  • explicit teaching of self‑regulated strategies (retrieval, spacing, interleaving, reflection)

  • a focus on building independence from the start

 

7. Complaints & Feedback

Feedback is always welcome.

  • Concerns or complaints can be raised directly.

  • I will respond within five working days.

  • If a resolution cannot be reached, guidance will be provided on next steps.

 

8. Scope of Services

Tutoring and consultancy services are educational in nature. They do not replace clinical, therapeutic or statutory provision. Where needs fall outside my remit, I may recommend alternative or additional support.

 

By engaging with tutoring or consultancy services, you agree to the terms outlined in this policy. These standards are in place to ensure safe, ethical and effective practice for all learners and partners.
